Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Expense Go, an expense-management platform operated by Outcubator (“we,” “us,” or “our”). By accessing or using Expense Go you agree to be bound by these Terms. If you do not agree, do not use the service.
1. Acceptance & Eligibility
By using Expense Go you confirm that you are at least 18 years old (or the age of majority in your jurisdiction) and that you have the authority to bind yourself and, if applicable, the company or organisation on whose behalf you are using the service.
If you are accepting these Terms on behalf of a company or other legal entity, you represent and warrant that you have the authority to do so and to bind that entity to these Terms.
2. Description of Service
Expense Go is a cloud-based expense-management SaaS platform that enables organisations to submit, review, approve, and reimburse employee and contractor expenses. Key features include:
- Expense submission with receipt capture and AI-assisted data extraction.
- Multi-level approval workflows (draft → pending → approved / rejected).
- Reimbursement processing via integrated payment providers.
- Role-based access control (owner, admin, manager, approver, employee, contractor).
- Analytics, reporting, and accounting ledger integration.
- Merchant directory, project/trip tracking, and configurable policy engine.
3. Accounts & Authentication
Access to Expense Go is invitation-based. You may only create an account after being invited by an administrator of an existing workspace, or by registering through an authorised self-service sign-up flow (where available).
Expense Go uses passwordless, email one-time-code (OTP) authentication. Each sign-in requires you to enter a time-limited code sent to your registered email address. You are responsible for:
- Maintaining access to your registered email account.
- Keeping your session secure and signing out when using shared devices.
- Promptly notifying your administrator or us if you believe your account has been compromised.
- All activity that occurs under your account.
We reserve the right to suspend or terminate accounts that violate these Terms or that we reasonably believe have been compromised.
4. Acceptable Use
You agree to use Expense Go only for lawful purposes and in accordance with these Terms. You must not:
- Submit false, fraudulent, or misleading expense claims.
- Upload content that infringes third-party intellectual property rights.
- Attempt to gain unauthorised access to other users’ data or to our systems.
- Introduce malware, viruses, or other harmful code.
- Reverse-engineer, decompile, or disassemble any part of the service.
- Use the service to transmit unsolicited commercial communications (spam).
- Circumvent or attempt to circumvent approval workflows, policies, or permission controls.
- Use automated scripts to access the service in a way that burdens our infrastructure.
We reserve the right to investigate and take appropriate action against any violation of these rules, including removing content, suspending access, and notifying law enforcement.
5. Customer Data & Ownership
You retain ownership of all data you submit to Expense Go (“Customer Data”), including expense records, receipt images, and company information.
By submitting Customer Data you grant us a limited, non-exclusive, royalty-free licence to store, process, and transmit your Customer Data solely as necessary to provide and operate the service, including transmitting receipt images to our AI processor for extraction (see Section 7).
We do not claim ownership of your Customer Data. We will not use your Customer Data for any purpose beyond providing the service, as described in our Privacy Policy.
Within your organisation workspace, your expense data is accessible to other members with appropriate permissions (administrators, approvers, managers). This sharing is a core feature of the service and is necessary to operate approval workflows and reimbursement processing.
6. Privacy & Data Protection
Your use of Expense Go is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using Expense Go you consent to the data practices described in the Privacy Policy.
7. AI Features — Receipt Scanning
Expense Go provides AI-powered receipt scanning to automatically extract structured data from images you upload. You acknowledge that:
- Receipt images and their contents are transmitted to Anthropic’s Claude AI for processing. By uploading a receipt you consent to this transmission as described in our Privacy Policy.
- AI extraction is automated and may be inaccurate. You must review all extracted data and correct any errors before submitting an expense.
- Receipt scanning output does not constitute financial, tax, accounting, or legal advice. You are responsible for the accuracy of the expense data you submit.
- We are not liable for decisions made based on inaccurate AI-extracted data that you have not reviewed and corrected.
8. Fees & Reimbursement Processing

Reimbursement payments are processed by FasterPay, a third-party payment provider. Processing times and availability are subject to FasterPay’s terms and applicable banking regulations. We are not responsible for delays, failures, or errors caused by FasterPay or intermediary financial institutions.
All monetary amounts displayed in Expense Go are informational. The actual amounts disbursed are determined by the reimbursement workflow and the payment processor and may differ due to currency conversion, banking fees, or errors. You should verify reimbursement amounts independently.
9. Third-Party Services
Expense Go integrates with third-party services, including Anthropic (AI), FasterPay (payments), and email providers. Your use of features that rely on these services is also subject to their respective terms of service and privacy policies. We are not responsible for the practices, availability, or conduct of third-party services.
10. Intellectual Property
Expense Go and its underlying technology, design, trademarks, and content (excluding Customer Data) are the exclusive property of Outcubator and its licensors. Nothing in these Terms grants you ownership of or a licence to use our intellectual property except the limited right to use Expense Go as described in these Terms.
If you provide feedback, suggestions, or ideas about Expense Go, you grant us an irrevocable, royalty-free licence to use, incorporate, and commercialise such feedback without restriction or compensation to you.
11. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED OR ERROR-FREE OPERATION.
We do not warrant that (a) the service will meet your requirements; (b) the service will be available at any particular time or location; (c) any errors or defects will be corrected; or (d) results obtained from use of the service will be accurate or reliable.
12. Limitation of Liability
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT WILL OUTCUBATOR OR ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, OR LICENSORS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, PUNITIVE, OR EXEMPLARY DAMAGES — INCLUDING LOSS OF PROFITS, GOODWILL, DATA, OR OTHER INTANGIBLE LOSSES — ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF (OR INABILITY TO USE) EXPENSE GO, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.
TO THE FULLEST EXTENT PERMITTED BY APPLICABLE LAW, OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM OR (B) [USD $100 OR ANOTHER AMOUNT — confirm with legal].
13. Indemnification
You agree to indemnify, defend, and hold harmless Outcubator and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in any way connected with:
- Your use of Expense Go in violation of these Terms.
- Your Customer Data, including any claim that it infringes third-party rights.
- Your violation of any applicable law or regulation.
- Fraudulent or inaccurate expense submissions made through your account.
14. Suspension & Termination
We may suspend or terminate your access to Expense Go at any time, with or without notice, if we reasonably believe you have violated these Terms, if required by law, or for operational reasons.
Your organisation administrator may also revoke your access to a company workspace at any time.
Upon termination, your right to use the service ceases immediately. Sections 5 (Customer Data — data-portability requests may be made before termination), 10 (Intellectual Property), 11 (Disclaimers), 12 (Limitation of Liability), 13 (Indemnification), and 15 (Governing Law) survive termination.
You may request export of your Customer Data before account closure by contacting legal@outcubator.com.
15. Governing Law & Dispute Resolution
These Terms are governed by and construed in accordance with the laws of [Jurisdiction — confirm with legal], without regard to its conflict-of-law provisions.
Any dispute, controversy, or claim arising out of or relating to these Terms or the service shall be resolved by [binding arbitration / courts of the applicable jurisdiction — confirm with legal]. If you are a consumer in a jurisdiction that does not permit mandatory arbitration, you retain the right to bring claims in your local courts.
You agree that any claim must be brought individually and not as part of a class action or representative proceeding, to the extent permitted by applicable law.
16. Changes to These Terms
We may modify these Terms from time to time. If we make material changes, we will notify you by email or by posting a prominent notice in the Expense Go platform at least 14 days before the change takes effect (or such shorter period as required for legal compliance). Your continued use of Expense Go after the effective date of any changes constitutes your acceptance of the updated Terms.
You should periodically review these Terms. The “Last updated” date at the top of this page indicates when these Terms were last revised.
17. General
- Entire Agreement: These Terms, together with the Privacy Policy and any additional terms you agree to, constitute the entire agreement between you and Outcubator regarding Expense Go.
- Severability: If any provision of these Terms is found unenforceable, the remaining provisions will continue in full force and effect.
- Waiver: Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights.
- Assignment: You may not assign these Terms or any rights or obligations hereunder without our prior written consent. We may assign these Terms freely.
